What information do we collect?

We may collect personal information from you when you sign up for one of our courses such as Alpha, a newcomers’ course or a pastorate group or where your child attends one of our children’s groups. We also collect information when people wish to get married or have a baptism or funeral service in the church.

The information collected includes first and last name, residential and email address and possibly a contact telephone number. We may also ask you for information about your interests so that we can provide details of groups and courses which we run.

If you wish to be a member of the church and to be included on the electoral roll of St James we will ask you to provide slightly more detailed information through membership forms, such as date of birth. We may also ask for a photograph, as this helps us with identifying members of the congregation. Any information which is optional will be clearly indicated on any forms which are used. We will in some circumstances also ask for health information to ensure that you or your children receive appropriate treatment if taken ill.

If you make financial gifts to the church this information, including your bank details if you set up a standing order, will be recorded for the administration of these gifts.

Limited information may also be collected when you use our website including your IP address (a series of numbers which identifies a computer on the internet), browser information and the pages you request. We use this information to improve our website. The data is not used to identify you personally.

How is this information used?

The information collected is principally used to enable us to contact you and for the purposes of internal administration. Where you have supplied contact details we may contact you by email, telephone or post. If you have asked to receive this, we may also send you general information about church events and news by email.

We will also use your information for the following purposes:

  • Internal record keeping
  • Accounting and budget setting
  • To process payments for the purchase of products and services e.g. through the bookshop

Your personal information will only be made available to members of St James’ staff and volunteers involved in the particular areas of ministry in which you participate or have expressed an interest and only used for the authorised purpose. St James operates a system of restricted access to personal information so sensitive personal data is only accessible on a need-to-know basis. In particular, access to information on giving is restricted to the Financial Controller and Treasurer and members of the clergy do not know the names of any donors or the amounts that are given.

Who do we disclose information to?

We will only disclose your personal information to third parties if either: (i) we have obtained your consent; (ii) those third parties are providing a service to St James; or (ii) in exceptional circumstances where we are required or permitted to do so by law. Where we disclose your personal information to external service providers (some of which may be located in countries outside the European Economic Area which do not have privacy laws) this will only be for the purposes set out above and we will ensure that such transfers comply with data protection law and that your personal information is kept securely and protected from unauthorised access.

In common with a number of other churches, St James uses the services of a data administrator, Fellowship One, in order to maintain its database. Fellowship Technologies, L.P. is a US company and your data will be held on secure servers in the United States. Fellowship Technologies is a member of the U.S. - EU Safe Harbor Framework approved by the European Commission as providing sufficient guarantees of privacy to permit transfers of personal information to it. The company has certified that it adheres to the Safe Harbor Privacy Principles of notice, choice, onward transfer, security, data integrity, access, and enforcement. St James is committed to ensuring that the personal information which you provide to us is kept secure. We have put in place appropriate physical, electronic and managerial procedures in order to safeguard such information and to prevent unauthorised access or disclosure.

Cookies and use of our website

This information is used to track visitor use of our website and to compile statistical reports on website activity.
